The CampSuite bookings list, showing where each booking came from and what is still owed

Every booking in one list, whichever source it arrived from.

What you get

The parts of a 16 to 30-pitch season that usually need three systems and a notebook.

  • Direct, telephone and channel bookings in one straightforward diary.
  • Commission-free direct bookings, paid into your own Stripe account.
  • Take deposits and balances, and see what is outstanding at a glance.
  • Cut the repeat arrival questions with automated messages.
  • Free guided migration of your past and future bookings, done for you.
  • A workflow review based on how you actually take bookings today.

What this size of site usually puts up with

Between sixteen and thirty pitches you are busy enough to need a real system, and small enough that the legacy quotes look ridiculous. That gap has a cost, and it is usually paid on a Sunday evening.

  • Commission on bookings you had already earnedGuests who found you on a channel, then rebooked through it next year, and the platform took its cut again.
  • Three sources, one guessChannel emails, website bookings and phone notes, reconciled in a spreadsheet that is out of date by Monday.
  • The clash you find out about on arrivalTwo parties, one hardstanding, both holding a confirmation. Nobody wins that conversation.
  • The phone as an FAQ serviceGate code, arrival times, dogs, hook-up, where to park a big van. The same eight questions, all season.
  • Balances chased by memoryYou know roughly who still owes something. Roughly is what costs you money at the end of the season.
  • Quotes built for a holiday parkOnboarding fees, training days and an annual contract, for a site with thirty pitches and no reception desk.

One diary, direct bookings you keep all of, and messages that answer the eight questions before anyone rings.

How it works

We move you across first, so you are never working from an empty diary.

  1. Step 1

    Free guided migration

We move your current and past bookings across for you, with deposits and balances attached, so you start with a full diary and your guest history intact, not an empty screen.

  2. Step 2

    Direct bookings and payments

Take commission-free direct bookings and payments into your own Stripe account, alongside your telephone and channel bookings, with availability kept in step so nothing clashes.

  3. Step 3

    Automated arrival messages

Set your arrival details, gate code and pre-arrival reminders once and let them go out automatically, so the phone rings for the things that actually need you.

Live in 15 minutes, migrated in the background

These are two separate things, and it is worth being clear about both. You do not wait on the migration to start using it.

  1. Minute 1

    Your pitch types go in

Hardstandings, grass, seasonal, the glamping pods. We will do this part for you if you send a list.

  2. Minute 6

    Rates, seasons and rules

Peak, off-peak, weekend premium, minimum stays, extras and supplements. Once, not per booking.

  3. Minute 11

    Stripe connected

A few minutes, a personal or business account is fine, and Stripe pays your takings on to your bank on the payout schedule set on your own Stripe account.

  4. Minute 15

    You are taking bookings

Direct and telephone bookings from this point on. Nothing else needed to be operational.

  5. Then, in the background

    We migrate your history

Usually a few days for a full season, while you carry on. Run your old system alongside as long as you like.

Do it yourself, or hand it to us

Both routes are free, and there is no onboarding project hiding behind either of them.

  • Do it yourself

No implementation project, no training course

The legacy systems need a training day because they were designed around a reception desk and a manual. CampSuite was designed the other way round: plain words, one obvious thing per screen, nothing buried in a submenu, and no jargon to decode.

That is why setup is fifteen minutes rather than a fortnight, and why you can put a new member of staff in front of it in April without booking a course. There is nothing in it you will not understand, and nothing anyone can break by pressing the wrong thing.

  • Or we do it

    Hand us the whole move

Send us your pitch types, rate cards and an export, and we will build your site, rebuild your seasons and supplements so pricing behaves as it does now, and migrate your past and future bookings with deposits attached.

We check the lot with you on a screen-share before you go live, and your old system stays running alongside for as long as you want it. Free at your size, with no cutover weekend and no obligation.

And you are not handed off to a support tier afterwards. If anything needs sorting we are completely on it, or we will just do it for you.

Or book a 15-minute demo and we will scope the move with you.

Nothing gets left behind in the move

Your bookings, your guests and your history all come across, and it costs you nothing. This is the part owners worry about most, and it is the part we do for you.

Send us an export, a spreadsheet, a folder of channel confirmations or a photograph of the diary. If your current system will not give you a clean export, we work from reports instead. We have not yet met a system we could not get a site off.

Then we check it with you on a screen-share before you go live, so you are not taking our word for it.

  • Every future booking, including next season's advance bookings
  • Past bookings and past seasons, so your history and reporting survive
  • Guest details and stay history, so returning guests are recognised
  • Deposits paid and balances due, on the right booking
  • Rate cards, seasons and supplements rebuilt to behave as they do now
  • No cutover weekend, and free for sites up to around 60 pitches

What it costs

CampSuite is free for up to 100 pitches, so a 16 to 30-pitch site pays no monthly fee. It is the full product, not a trial, with nothing held back and no expiry.

When a guest books online, there is a flat £1.50 booking fee, paid by the guest at the checkout on its own labelled line. It never touches your pitch price, your takings or your VAT. Telephone, cash, bank-transfer and gate bookings are never charged. If you would rather no guest ever saw a fee, cover it yourself at £2 + VAT a pitch a month, capped at £99 + VAT, and move between the two whenever you like.

Optional add-ons, off unless you want them: channel management for Pitchup, Campsites.co.uk and more at £10 + VAT a month, and your own web address at £5 + VAT a month.

Rolling monthly. No setup fee, no minimum term, no leaving fee, and no card to start.

Built by a real person, not a call centre

"Most campsite software was built for a reception desk around 2010. I built this for the phone in your pocket."

I am Rob. I have spent years touring the UK and Europe booking real sites, which is a very direct education in what works and what drives owners up the wall. Sites your size were the ones being squeezed hardest: too established for a notebook, too small to be worth a legacy vendor's attention beyond the invoice.

My partner and I are looking for a park of our own, so I am building the software I will want running our own pitches from day one. That is a stronger incentive than any roadmap document.

CampSuite gets better every month rather than every few years, and the things that go in come from conversations with owners, not from a competitor's feature chart. When you ring, you are talking to the person who can actually change the product.

Support is not tiered here, and it is not outsourced. If something needs sorting we are completely on it, and if you would rather hand a job over than work it out, we will simply do it, at no charge and on any plan. You will not be given a ticket number and a target response time.

If you want to talk through a move, or just ask whether it will handle the way your season works, ring me on 01228 581035, or 07445 684915 if a mobile suits you better. Either way you will get me or one of our small UK team.

Common questions

Do we set it up, or do you?

Either, and both are free. Setting it up yourself takes about 15 minutes because it is deliberately simple, or you can hand us the whole move: pitch types, rate cards, seasons and supplements rebuilt to behave as they do now, and your past and future bookings migrated. You can also start it yourself and hand the migration to us.

Is there a training course or an implementation project?

No, and that is deliberate. The legacy systems need a training day because they were designed around a reception desk and a manual. CampSuite uses plain words, does one obvious thing per screen and hides nothing in a submenu, so setup is fifteen minutes rather than a fortnight and you can put a new member of seasonal staff in front of it without booking a course. There is nothing in it you will not understand, and nothing anyone can break by pressing the wrong thing.

What level of support do we get?

The kind where we are completely on it. Ring, email or use live chat and you get a real person in the UK, not a tier-one queue reading a script. If something needs sorting we sort it, and if you would rather hand a job over than work it out yourself, we will simply do it. No charge, on any plan, including the free one.

How long does the changeover actually take?

You can be set up and taking bookings in about 15 minutes. A full migration of a season's bookings usually takes us a few days in the background, and you can run CampSuite alongside your current system for as long as you like, so there is no cutover weekend and no risky big-bang switch.

Do you import past bookings as well as future ones?

Yes, both. Your upcoming bookings come across so your diary is complete from day one, and your past seasons come with them so you keep your booking history, your guest list and your repeat guests' stay records. Deposits paid and balances due land against the right booking.

Can I take commission-free direct bookings?

Yes. Guests book on your own page and pay into your own Stripe account, so no commission is taken on a direct booking. You can keep listing on Pitchup or Campsites.co.uk for the extra reach, with availability kept in step so a channel booking cannot clash with a direct one.

Will it stop double bookings between my channels and the phone?

Yes. Every booking source lands in one diary, and the optional channel manager keeps your listings in step with your own calendar, so a pitch sold on a channel closes everywhere else. That add-on is £10 + VAT a month on any plan.

What does it cost for 16 to 30 pitches?

No monthly fee. CampSuite is free for up to 100 pitches, so a site your size is inside the free plan. Guests pay a flat £1.50 fee on online bookings only, or you cover it yourself for £2 + VAT a pitch a month, capped at £99 + VAT, and your guests then see no fee. See the pricing page.

Am I tied into a contract?

No. It is rolling monthly with no minimum term and no leaving fee, and you can export your bookings and guest list to a spreadsheet at any time. Your data is yours.

Who will I be dealing with?

Rob Heeley, who built CampSuite, and a small UK team. Ring 01228 581035, or 07445 684915 if a mobile suits you better, and you get a person who knows campsites, not a tiered ticket queue.

What if my current system will not give me an export?

We have seen it all. If a clean export is not possible we work from reports, spreadsheets, channel confirmation emails or even your existing diary. Tell us what you can get out and we handle the rest on the call.
