1. Who we are

CampSuite® is operated by WorkBee Limited, a company registered in England. When we say "CampSuite", "we", "us" or "our" in this policy, we mean WorkBee Limited.

We are the data controller for personal data collected through our website at www.campsuite.net and the CampSuite application at app.campsuite.net.

2. What data we collect

We collect and process the following categories of personal data:

Account information

When you create a CampSuite account, we collect your name, email address, site name, site address and phone number (if provided). This information is necessary to set up and manage your account.

Booking and guest data

When you or your guests make bookings through CampSuite, we process guest names, email addresses, phone numbers, vehicle registration numbers, booking dates, pitch allocations and any notes you add to a booking. As a campsite owner using CampSuite, you are the data controller for your guest data, and we process it on your behalf as a data processor. The terms on which we do that are in our data processing agreement, which applies to every account.

Payment information

We do not store credit card numbers or bank details directly. All payment processing is handled by Stripe, our third-party payment processor. We receive and store transaction references, amounts and payment status to maintain booking records.

Usage data

We collect usage analytics to understand how people use CampSuite and to improve the product: pages visited, features used, browser and device type, and approximate location at country level. We do not use it to identify an individual user. We do not call it anonymous, because our analytics provider receives an IP address and sets an identifier in the browser.

Our marketing website also carries the Meta (Facebook) pixel, which we use to measure our own advertising. It never sees guest data or anything inside the CampSuite application. The cookie policy explains it and how to block it.

Communications

When you contact us by email or through our contact form, we retain the contents of your messages, your email address and our responses so we can provide support and maintain a record of correspondence.

3. Why we collect it and our legal basis

We process personal data for the following purposes and on the following legal bases:

4. How we store your data

Your data is stored on encrypted servers located in the United Kingdom and the European Economic Area (EEA). We use industry-standard encryption in transit (TLS) and at rest to protect your data. Access to personal data is restricted to authorised personnel on a need-to-know basis.

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, alteration, disclosure or destruction.

5. Who we share your data with

We share personal data only with the following third parties, and only to the extent necessary to provide our service:

Stripe: Our payment processor. When you or your guests make payments, Stripe processes the transaction. Stripe acts as an independent data controller for payment data. You can read Stripe's privacy policy.
Email service provider: We use a third-party email service to send booking confirmations, notifications and support communications. This provider processes email addresses and message content on our behalf as a data processor.
Hosting provider: Microsoft Azure, with data stored in the United Kingdom and the EEA.
Analytics, chat, forms and fonts on our marketing website: Google Analytics, Meta, Crisp, Formspree, Microsoft Bookings and Google Fonts. None of these has access to the CampSuite application or to guest booking data.

We do not sell, rent or trade your personal data to any third party. We do not share your guests’ data with advertisers. We do not use your data for profiling or automated decision-making.

6. Your rights

Under the UK GDPR, you have the following rights regarding your personal data:

Right of access: You can request a copy of the personal data we hold about you.
Right to rectification: You can ask us to correct any inaccurate or incomplete personal data.
Right to erasure: You can ask us to delete your personal data. We will comply unless we have a legal obligation to retain it.
Right to data portability: You can request your data in a structured, commonly used, machine-readable format.
Right to object: You can object to processing based on legitimate interests.
Right to restrict processing: You can ask us to restrict how we use your data in certain circumstances.
Right to withdraw consent: Where processing is based on consent, you can withdraw it at any time.

If you are not satisfied with our response, you have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

7. Cookies

We use cookies on our website and application. Essential cookies are required for the service to function. We also use analytics cookies to understand how people use CampSuite, and our marketing website carries the Meta advertising pixel described in the cookie policy. Our cookie policy names every one of them and explains how to block the ones that are not essential.

8. Data retention

We retain your personal data for as long as your CampSuite account is active. If you close your account, we will delete your personal data within 30 days, unless we are required by law to retain it for longer (for example, financial transaction records which we may need to retain for up to 7 years for tax and accounting purposes).

If you request deletion of your data, we will action this promptly and confirm once complete.

9. International transfers

Your data is primarily stored on servers in the United Kingdom and the EEA. In the event that any data is transferred outside the UK or EEA (for example, by a sub-processor), we ensure that appropriate safeguards are in place, such as standard contractual clauses approved by the Information Commissioner's Office.

10. Children

CampSuite is not designed for or directed at children under the age of 16. We do not knowingly collect personal data from children under 16. If we become aware that we have collected personal data from a child under 16, we will take steps to delete that data promptly.

11. Changes to this policy

We may update this privacy policy from time to time. If we make significant changes, we will notify you by email or through a notice in the CampSuite application. The "last updated" date at the top of this page indicates when the policy was most recently revised.

We encourage you to review this policy periodically to stay informed about how we protect your data.
