A caravan park booking system for Irish touring parks

Two families and one hardstanding on a bank holiday Friday is the weekend a paper diary picks to fail. Touring pitches, hardstandings, fully serviced bays and your seasonals sit on one diary, so a pitch sold on the phone closes on the website in the same second. Deposits by card, paid into your own Irish bank account.

The mix

Three businesses in one field

A caravan and camping park is rarely one simple thing. Tourers coming and going, seasonals parked up until the end of the season, and a few pods or huts at the top of the site. CampSuite™ keeps the lot on one diary.

Tourers that turn over daily

Two nights here, four nights there, a van that decides on the Friday to stay until Monday. A pitch frees itself the moment a guest leaves, so the next booking drops straight in without you rubbing anything out.

Seasonals that never move

Block a seasonal plot for the whole season and it stops showing as available, while you still see whose caravan is on it and what has been paid. No sticky note on the office wall doing that job for you.

Pods and huts alongside

Glamping pods, shepherd's huts and the odd static sit on the same screen as the touring rows, priced their own way with their own changeover rules. You see the whole site in one view, not three.

Your diary

Every pitch and every night on one screen

Pitches down the side, dates across the top, bookings as coloured bars. On a wet Tuesday in October that is a quiet screen. On the June bank holiday weekend it is a wall of colour, and you can still spot the one hardstanding that came free because somebody shortened their stay.

Pitch types

Set your pitches up the way the ground actually is

Guests book what they can see. If a pitch is grass and it goes soft in April, say so, and the booking still matches reality when the outfit rolls up.

Hardstanding or grass

Mark every pitch for what it really is, so a twin-axle goes on gravel and nobody gets towed off the wet top field in March.

Fully serviced bays

Water, waste and electric on the pitch, priced above a standard touring bay and bookable as its own type.

Electric hookups

Say which pitches have a hookup and which do not, with the amps noted, so a big van books a pitch that will carry it.

Awnings and outfit size

Record pitch length, whether an awning fits and whether the car stays on the pitch. Your rules travel with the booking.

Motorhome service point

Sell a service point visit or a short overnight stop without tying up a full touring pitch for the night.

Dogs, groups and quiet corners

Flag the pitches you are happy to put a dog on, and the ones you keep well away from the family field.

The busy weekend

Bank holiday Friday, forty arrivals and one of you

They start building about four o'clock and keep coming until dark. Open the app at the barrier and the list is in front of you: who is booked, which pitch, what is still owed, whether the dog was declared. Tick them in as they come through the gate and the office screen keeps up with you. When somebody turns up on spec, you can see what is free, put them on it and take the money there and then, and a booking you take yourself never carries a guest fee.

Money, in euro

Deposits, balances and nothing converted

You set your rates in euro. That is the number the guest sees, the number they are charged and the number that lands in your bank. Nothing is converted from sterling on the way through.

What it costs

Free for you, €1.75 for the guest

CampSuite is free for up to 100 pitches, and that is the whole product, not a trial with a countdown running on it. When a guest books online we add a small fee to their booking.

What the guest sees

The fee is flat. One booking, one fee, whether it is a single night on the way to the ferry or a fortnight on a fully serviced pitch for a family of five. It never passes through your account and it never comes out of your pitch price.

Bookings you take yourself, on the phone, by email, in the shop or at the gate, are never charged a fee at all. If you would rather your guests never saw one either, the Put it on me plan is €2.75 per unit per month, capped at €137.50 a month. The cap is 50 units, so a park of 100 pitches pays no more than one of 50.

The website builder, the site map designer, the WordPress plugin, the developer API and unlimited staff logins are in every plan, the free one included. Over 100 pitches, or several parks under one roof, is a tailored plan.

Reporting

Numbers a busier park can actually use

Occupancy by pitch type, revenue by month, how much of next season is already on the books and where the bookings came from. Enough to tell whether the shoulder season is genuinely growing or whether it only felt busy. Export it when the accountant asks.

Why parks move

Paper works right up until the weekend it does not

A paper diary is fine in April. It holds up in May. Then a bank holiday lands, the phone goes while you are halfway through cutting the grass, a booking gets written on the wrong line and two families arrive for the same fully serviced pitch. Nobody enjoys that conversation, least of all at nine on a Friday night.

The other thing that catches touring parks out is passing trade. Ferry traffic off the boat from Britain or France, people working their way along the Wild Atlantic Way or Ireland's Ancient East, somebody who found your Failte Ireland listing and rang the number on it. They ring, you are out on the site, and by the time you call back they have booked somewhere else. A booking page that answers at midnight fixes most of that, and taking bookings on your own website costs nothing to set up.

Then there is the mix itself. Seasonals invoiced once a year, tourers paying a deposit, a pod let by the night, all with different rules and all needing to agree with each other. One diary, one set of rules, one place the money is recorded. That is really all a booking system is for.

Money is the part people ask about most, so it is written out in full elsewhere. There is a page on getting paid in euro that follows a deposit from the guest's card to your IBAN, and the Irish pricing page lists what the software costs. Every figure on both is in euro.

If you are already on another system and dreading the move, we do the heavy lifting. Moving to CampSuite takes an afternoon rather than a season, and your forward bookings come across with you.

Questions from touring park owners

Yes, and that is rather the point. Seasonal plots are blocked for as long as you say, so they never appear as bookable, while your touring pitches turn over around them. You still see whose caravan is on which plot and what has been paid.

Yes. Once a pitch is booked for a set of dates those dates are gone, whatever route the booking came in by. Online, over the phone, through the channel manager or added by you at the gate, they all block the same pitch on the same calendar.

Euro. You set your nightly rates in euro, your guests are charged in euro and Stripe pays out to your Irish IBAN in euro. Nothing is converted from another currency at any point, and the rate you type in is the rate they pay.

Nothing for up to 100 pitches, and that is the full product rather than a trial. On the free plan the guest pays a flat €1.75 on each online booking. If you would rather cover it, Put it on me is €2.75 per unit per month, capped at €137.50 a month, which is 50 units, and your guests never see a fee. Over 100 pitches or several parks is a tailored plan.

Of course, and plenty of parks do. Add the booking in a few seconds while the caller is still on the line and it lands on the same diary as everything else. Bookings you take yourself are never charged a guest fee.

Yes, with the channel management add-on at €12 a month. Your live availability goes out to the channels and the bookings come back into the same diary, so there is nothing to re-key and no pitch sold twice.

Run the whole park from one diary

Set your pitches up, switch the booking page on and you are taking bookings the same day. Free for up to 100 pitches, and it is the full product, not a trial. If you would rather talk it through with a person first, ring +44 1228 581035 or email hello@campsuite.net.
